We all know the importance of time management and time tracking in today’s fast-paced work environment. There are a million and one things to get done, and not enough hours in the day to do them. This is where Harvest and Time Clock Wizard come in – two project management software designed to help you better manage your time and improve your team’s productivity. But which one is better? In this blog post, we’ll compare the best and worst features of both Harvest and Time Clock Wizard to help you decide which one is right for you. Let’s get started!

Harvest vs Time Clock Wizard: Comparison summary

When it comes to looking for the right time tracking tools, time tracking software, and monitoring time entry apps, you have to check on which one gives you more comfort and ease. Both tools provide solutions for employee scheduling and time tracking and are ideal for streamlining tasks, but let’s see which one offers a few distinct advantages that can be crucial for your business.

About Harvest: Harvest is a team management system that helps organizations to monitor their employee’s productivity and performance. It offers an array of features to help improve the efficiency of the business and save time. This feature also allows businesses to more easily manage future projects as well as track current projects with more accuracy than other leading comparison services like Toggl Track. Overall, Harvest is a competitive time tracking tool for businesses.

About Time Clock Wizard: Time Clock Wizard stands out with its innovative task management features, including the ability to assign individual tasks. In addition to this, Time Clock Wizard also offers the option of viewing employee activity in real-time, giving managers an easy way to monitor their employees’ work and productivity. Time Clock Wizards also boasts of its full-blown HR payroll service, in addition to time tracking. It also allows employers. As compared to other popular time tracking tools such as Toggl Track and Harvest, Time Clock Wizard far exceeds any expectations when it comes to managing tasks.

Employee scheduling

Are you a small business owner looking for a new time clock or scheduler? If so, you may be wondering: what’s the difference between Harvest and Time Clock Wizard in terms of employee scheduling? When it comes to employee scheduling features, both Time Clock Wizard and Harvest offer track time, billable hours, and the ability to track various time entries. However, Time Clock Wizard offers a built-in system for employers to schedule their employees with ease, as well as allowing employees to see their timesheets and request changes. Additionally, key scheduling features include the ability to track labor costs, time off requests, and vacation requests efficiently. With these helpful features, businesses are able to track every hour of their employees’ time with ease.

Time Tracking

Time Clock Wizard and Harvest both have time tracking features that make it easier to manage teams and have time-sensitive projects. Time Clock Wizard lets you easily create time entries, so employers can easily track time worked, while the detailed timesheet feature of Harvest allows your employees to identify when they started their workday and when they ended. Each platform also provides a comprehensive breakdown of time tracked against each day, allowing employers to save time when allocating tasks or creating invoices. Finally, users can view time entries as well as key features in only a few clicks with an intuitive user interface offered by both platforms, making it easy to use and time-efficient.

Mobile apps and desktop apps

When it comes to mobile apps and desktop apps, both Time Clock Wizard App and Harvest App are available. However, Time Clock Wizard is definitely the more user-friendly choice. Its singular device feature allows employees to easily access one place for managing their billable hours, tracking working hours, and creating detailed timesheets. Plus, they don’t need to worry about having separate devices when they are working remotely. On the other hand, Harvest lets you bill clients but lacks in-depth time tracking options, so teams can’t accurately manage their own time. As a result, managers may need to remind and track everyone’s billable hours manually should their employees forget to log in during the team’s time to work. All in all, Time Clock Wizard provides better overall usability and flexibility compared to Harvest.

Payroll Reporting

Payroll reporting can be time consuming and difficult to keep up with if you don’t have the right kind of system. With Harvest, you can track time estimates for each employee’s work, but they don’t offer a detailed payroll reporting system. On the other hand, Time Clock Wizard offers time tracking as well as comprehensive payroll reports that compute taxes and make sure your business is always compliant with tax laws. Additionally, their time clock platform is compatible with both mobile and desktop apps so that you can easily keep track of employees’ timesheets from any device. With Time Clock Wizard, time estimating for payroll is efficient and more time-saving than ever before. With their payroll reporting feature, the calculations are automatically done to help you save time and money. Plus, with their handy mobile app, you can run payroll anytime you need to. Additionally, Time Clock Wizard helps you to track your finances at all times so that you know where your hard-earned money is going; just approve the timesheet data and then run payroll the next day. Time Clock Wizard adds convenience to payroll processing while also ensuring accuracy when it comes to billable rates, due dates, and work estimates for employees.

User Interface

When team management becomes a chore, having the right time tracking software by your side can make all the difference. Whether you want to compare Harvest and Time Clock Wizard in terms of the user interface, one feature that definitely sets Time Clock Wizard apart is its user-friendly interface that every employee in your organization can easily understand. Not only that, but with their desktop app, employees can simply do a quick clock-in with a 4-digit pin. Good time tracking tools can also offer a versatile team management solution. With Time Clock Wizard, you can get a user-friendly platform that suits your project management needs.

For timesheet approval and to track time of every team member, a user-friendly app is essential. Fortunately, both Harvest and Time Clock Wizard offer a friendly app experience that makes tracking billable hours and timesheets easy. But which one is more user-friendly? While both have a desktop app and can be accessed through mobile devices, when it comes to accommodating more users, Time Clock Wizard offers basic employee time tracking for unlimited users without having to pay for additional plans. That makes it much easier for users who only need an employee time tracking tool and don’t want to spend extra money on a paid plan. On top of that, Time Clock Wizard offers chat and email support with their free plan. Time Clock Wizard also empowers your employee to easily clock in/out, view schedules, make shift requests, receive messages from the managers, view the current timesheet, and more. For these reasons alone, it’s clear why Time Clock Wizard is more user-friendly than Harvest.

Pricing

Time Clock Wizard

For anyone looking for a reliable expense tracking and time management solution, it’s hard to beat Time Clock Wizard. Not only does Time Clock Wizard offer one of the most efficient time tracking solution, but its pricing plans are extremely competitive. They have 4 types of plans, depending on the needs of your business.

Free Version:

Time Clock Wizard has a free version that offers a basic employee time tracking tool for unlimited users that everyone in the organization can use.

Value Plan:

Their Value Plan, which costs $19.95 a month offers additional features such as remote employee monitoring, timesheet reports, availability with iOS MobileApps and android devices, and manager SMS and email notification.

Pro Plan:

Their Pro Plan, being the most preferable for customers, has a full-service payroll system that can do the function of a whole HR department. Plus it has reliable time tracking, scheduling, payroll, and reporting features. It’s a time tracking software that decreases your internal costs while giving you the maximum revenue for your business.

Enterprise Plan:

The best part is that you can get all the premium features in the Pro Plan with additional priority support, and a dedicated account manager, for unlimited users and unlimited projects, with their Enterprise Plan for only $179.95. This is perfect for an expanding business with more than 50 employees. With different options depending on the needs of your business, you can ensure you’re allocating the right amount to your project budget.

Harvest

On the other hand, Harvest has limited payment plan options and, depending on how much expense tracking you need to do, could end up being costlier over time. They only have two plans.

Free Plan:

Their Free Version can only cater 1 user and for only 2 projects. It is like a trial version where you can access the features that they offer.

Pro Plan:

Their Pro Version costs $10.80 per user per month for unlimited projects. Should you decide to expand your business, it can get costlier for every added employee. In terms of value for money and features, you may want to double check on your internal budget and your projection of how much your company can grow before purchasing.

Time Clock Wizard: A powerful alternative to Harvest

Time Clock Wizard and Harvest both offer time tracking solutions that make it easy to track time, and manage time entries and billable hours. However, when it comes to which app is better overall, Time Clock Wizard quickly rises to the top. The software offers an unmatched time tracking experience, its easy-to-use time clock, and full service payroll that saves you time and money. What’s even more impressive is their HR features such as health benefits administration, workers’ comp administration, employee offers and onboarding, PTO policies and time-off requests, and more. All in all, Time Clock Wizard is one of the best time tracking tools on the market today – its full suite of features coupled with user-friendly design definitely makes this the superior choice.

How much time do you need?

Both Harvest and Time Clock Wizard have team and project management features that help simplify task details and track team members’ work hours. However, Time Clock Wizard stands out for its cost savings, providing your team the opportunity to save both time and money when it comes to payroll and other administrative tasks, such as generating scheduled reports. It gives you additional time to focus more on improving things that matter more for your business. Although Harvest offers a few more features than Time Clock Wizard, these are often superfluous and add additional costs without much benefit in return. All things considered, Time Clock Wizard is clearly the more economical solution focusing more on things that matter. When managing work hours, TCW far outweighs any minimal advantage that Harvest provides. So, if you think your business needs more time, then start looking into Time Clock Wizard.

In conclusion, Harvest and Time Clock Wizard each have their pros and cons when it comes to budgeting, user interface/experience, and features. However, for an overall winner, Time Clock Wizard is hard to beat. The combination of its intuitive design, reasonable pricing plans, range of features, and customer service that is willing to help out no matter what sets itself above the rest. With its adaptability across different projects, it’s a no-brainer when it comes to deciding which time clock software will produce your desired results. From small businesses to large enterprises, Time Clock Wizard is the way to go – so why not give it a try today? Try using Time Clock Wizard on your next project – you won’t regret it!

Workload management software is a tool that companies use to make schedules, resolve conflicting deadlines and create an efficient process for employees. Businesses are surprised at the return on investment with software that manages employees this way.

In the 1970s, businesses started using computers for large calculations like payroll. IBM software recorded to punch cards or tape wheels. The ability to recall data was cumbersome. It is no wonder smaller companies just used paper time sheets to calculate payroll.

In order to have efficient plan schedule management, you need workload management software like Time Clock Wizard. Read more about the importance of standard operating procedures.

What is Workload Management Software?

Making informed decisions about the level of workforce needed every day is made easier with online management tools.

Because your workforce schedule is concentrated on a convenient dashboard, it makes it easy to get a quick overview of your operations at any time.

When customers started using Time Clock Wizard, there were surprises. One of the unexpected benefits is that it is easy to re-assign employees to different areas of the job site as needed.

This reduction in wasted downtime labor hours and the ability to do batch scheduling were key factors for meeting projected labor force goals.

What is Batch Job Scheduling?

Batch scheduling is typically a hands-off process in which events trigger the schedule management. You may know of “If this, then that“process arrangements.

Time Clock Wizard is a hands on and convenient way to do mass scheduling. This gives management and human resources the best ability to easily schedule staff, make changes and notify employees. The benefit is easing conflicting deadlines.

Unlike typical batch systems, Time Clock Wizard allows for employees to check on their own schedule, request time off and request to exchange days with another employee.

How to manage conflicting Deadlines

Business have moving parts. Sometimes projects get delayed or work ahead of schedule. When this happens, sometimes labor is required to be in two places at once.

Time Clock Wizard has some features that can help out with conflicting deadlines.

The ability to leave notes for employees is helpful. For example, when your employee logs back in from their break, a note could appear to them to: Switch to project B for the afternoon only.

It is good to have a mix of tasks available for employees that include routine items, tasks that are tied to deadlines and no more than 3 priority items at a time.

How to manage workload of Employees

An important thing to remember is that the manager in charge of employees sets the standards. Creating and maintaining standards makes it easier for employees to do their jobs efficiently.

Time Clock Wizard helps out with maintaining standards by having an intuitive interface that all employees interact with.

An employees time is just as important as a manager’s time. Make sure that employees have blocks of uninterrupted work time to get tasks done. Also, make sure to have a set of problems that warrant input from other team members before calling a meeting.

Outsource repetitive tasks that can be completed efficiently somewhere else at a better price. It is important to ask employees if they are running into repetitive tasks that is getting in the way of more productive time.

As a manager, it is convenient to see who is pre-scheduled for the day with just a few clicks. In this article, there is the video and transcript for reminding you how to use these Time Clock Wizard features.

It is important to make sure that employees are scheduled appropriately.

Employers are looking for ways to better serve their employees. Or at least, keep out of trouble with any governmental labor board.

Here are some of the most common employee complaints about schedules:

Employers not paying attention to high-traffic times.

Changing the schedule without notice.

Dropping employee shifts too close to actual work time.

Being scheduled for more than one location at the same time.

Employers making staying over a scheduled shift time mandatory without prior consent.

Dismissing complaints about schedule as trivial without an investigation.

Shifts that rotate awkwardly so employee really cannot get proper sleep.

Needing to come into the workplace to view schedule.

It is very important to keep employees happy with their schedule. The more way employees can help you manage the schedule, the better.

Employees have 24/7 access

The terrific feature set of Time Clock Wizard make it easy for employees to check their schedule at their convenience.

When you take into consideration the time and travel costs for employees to come into the office to check their schedule, it may not directly affect your bottom line.

However, it does affect your employee’s attitude and impression of the workplace.

Viewing Pre-Scheduled Employees

Melissa Ruy, a terrific representative of Time Clock Wizard, has created the video below to help you get a quick view of your scheduled employees.

If you are looking to learn how to create the employee schedule in Time Clock Wizard, see the tutorial about our Employee Scheduler.

Hi everyone. It’s Melissa with Time Clock Support and I’m going to go over how to view your scheduled employees for the current day.

Using Schedule Tab

So I’m on our schedule page and I got here by clicking the Schedule Tab.

I’m going to go ahead and click “Show All Employees” to see who is scheduled. I can locate today and see which employee’s are scheduled for today.

Using Day View

You can also click the Day View.

You’ll see here, it’s May 26th 2016 and these are the employees that are scheduled today.

View Pre-Scheduled employees with Ease

If you guys have any questions please feel free to contact us on our support Tab and we’ll be happy to help you. Have a great day.

Time Clock Wizard is available to try out for free. This is online software application that your employees can use to reach their information from any location with internet access.

One of the cool features of Time Clock Wizard is that you can write a note to your employees within Time Clock Wizard. This is a extremely helpful feature that allows managers to direct employees better from one location.

For example, Human Resources have paperwork for employees to sign at irregular time frames. A quick reminder to the employee to take care of their paperwork can save the energy of both managers and human resource staff.

Using the employee dashboard is intuitive with Time Clock Wizard. This dashboard makes it easy for management to see the flow of their workforce in one, convenient location.

If you are new to the employee dashboard or you are just needing a refresher, the video and transcript are available below.

Also, we know that managers get busy from time to time and just need a quick reminder of what to do next. This video series is also for you. The previous video featured scheduling employees.

Transcript:

Hi everyone. This is Melisa with Time Clock support and today we going to go over your dashboard.

So this is your dashboard. You have a nice little blue widget here that gives you your company name.

This little pencil over here helps you to put a little welcome message over here or reminder for all your employees to see. You can make the text red or bold or whatever you feel like doing.

Going over Pending Requests

Then you have your Pending Requests. This just kind of like a central station for managers to know what needs to be done.

For example, we have one pending request, time sheet request that needs to be approved by management so that it can actually apply.

So this is when employees want to change the time or request a time that maybe they forgot to clock in and in order for it to apply you need to approve it as a manager.

So I just approved by checking the little green check mark or you could do decline by clicking the red X.

So let me go back to my Dashboard and I have zero pending requests.

Clock In Error Reminders

You have four Possible Clock in Errors. This is just to let you know that this person. They work 75 hours, 145 hours, 25 hours. The system will automatically let you know anything over 13 hours in one 24 hour period.

Requests for Days off or Absences

This one will let you know if you have any Absences Request.

So if your employee is requesting vacation time or any type of time off, you can approve it or decline it. I approved that one.

So that one is finished and usually managers will go through this list once a day or once a week to make sure everything is up to par.

All Employee Time Sheet Overview

This timesheet to verify gives you an overview of everyone’s timesheet.

You can see it over in one place. If you require Clock in Image you can see here and you can verify all of them at the same time, just letting the system know that these Clock ins are okay.

When it comes to generating payrolls you are good to go.

Those are done.

Employee Clock in Stats

Alright. Then we go over to Who’s in Stats. These basically will let you know on your schedule how many employees were scheduled for today, how many are clocked in right now and how many clocked in as a total for today.

So you’ll know you have five scheduled employees today. Only one is clocked in now and only two have clocked in for today. You are missing three employees.

You can click any of these and just kind of see what’s going on. Like in who’s in, you can see a list of who’s in. Nobody is in right now for me but you can click on that and I’ll just give you some information.

Your Tasks to Manage

The My Task which is basically that will let you know what tasks are assigned to you and that need to be completed. Also what task you assigned to other people that have not been completed.

Live Stream of Time Clock Action

The Live Stream is just an overview of what is going on in the back end of your time clock.

So it’ll let you know when something has been approved or declined, when someone is clocked in, when somebody is clocked out, when somebody is on a break, all sort of different types of things.

When someone creates a task or finishes a task you can just go through the live stream and sort of check it out.

Payroll and Hours Graphs

You have two graphs down here and one is basically letting you know for that particular day, the 15th, what you can expect the Payroll for that day based on the hours worked and the payroll wage you entered on the employee’s profile.

You can change the graph to another type of graph. Whatever you’ll be comfortable with.

Time Card Overview

Then you have My Time Card. My time card is when you clock in and out. It lets you know that information here.

It lets you know this a time Clock In Out type Clock in.

It’s a break and it’ll let you know it’s a break.

It lets you know the IP address for the clock in and the clock out.

You get you totals down here. How many times Clock in hours you worked, how many breaks you work and absence for that pay period.

Whenever you generate a payroll, it automatically clears this out and starts a new fresh Time Card.

Upper Employee Dashboard Features

You have your Quick Add for your employees.

You have your Messages. So you can always click here when the bell is rings as it is right here. It says two which means you have two messages.

You can always send a message by clicking here.

This is another overview of your pending requests which is just a little reminder and this is your tasks as well.

This little question mark is so that you can have a quick tutorial of the icons and the widgets if you ever need a little reminder of any kind. You can access that on any page.

Here is your Clock-In button. Once you click Clock-In, it’ll change to Start break and Clock-Out. So you are able to start your break now or Clock-Out depending on, you know, what you do in your business.

So that’s your Dashboard.

So if you have any questions you can always click the live chart down at the bottom and feel free to ask us any questions. We hope you guys are enjoying the Time Clock and thanks so much. Have a wonderful day.

Attendance tracking is often under-appreciated by businesses around the world and is often overlooked. Yet, there are countless benefits that come with having a quality, ready-to-go-system in place that is able to keep track of attendance figures and other related information within moments.

Let’s take a glance at some of the key benefits that come along with such a system and why it is imperative for a business to have it in place as soon as possible.

Some schools are using Time Clock Wizard’s online app to teach kids about clocking in and out for work or projects. One of the amazing benefits to Time Clock Wizard is to make sure that kids are where they are supposed to be for school outings or conferences.

If a student or employee does not check in, then an alert can go out about the missing person.

No Errors

The main benefit of this system would come in the form of the elimination of errors. Most businesses do attempt to keep track of attendance numbers by way of spreadsheet or template. However, most are not able to eliminate those pesky errors that keep on coming.

Errors from humans are a part of life and when the tracking is being done manually, there are going to be loopholes and/or kinks. This system ensures there are no errors along the way as everything is automated.

It simply cannot get easier and better than that for those who want perfection.

Tangible Analytics

Every business is looking to gain access to numbers that are going to improve their bottom line. Yet, there are some numbers that end up becoming elusive because they are either difficult to accumulate or tedious.

When a proper system is put in place which takes care of the accumulation of numbers, it is better for the business. Because the reports are going to be created on their own, the management team is able to simply read these tangible numbers and act on them.

For #ThrowbackThursday, here is the original video made about this subject:

Attendance Tracking – Less Work Keeping Track

The goal for any business is to have almost everything as systematic and automated as possible. A system of this nature ensures all of the tracking that is being done is accurate and easier to access. It is important to have the best time keeping software features.

When things are being done manually, it can lead to countless man hours being spent on such tasks. That can dry up financial resources in a hurry. Rather than wasting money and/or time on such tasks, why not let a system take care of it?

This is the beauty of tracking with an automated system.

These are just some of the essential benefits that come along with attendance tracking. Businesses that use such systems to keep track of their attendance numbers are always able to progress faster.

When employees are not being kept track of, it can lead to inefficiencies appearing in the business. This can lead to significant losses that could have easily been avoided.

Shift Planning and Attendance Tracking with Time Clock Wizard

With this management option in place, businesses are able to remain on top of any inefficiencies that develop and correct them effectively and immediately. Have a quality tracking system in place.

TimeClockWizard.com can ensure better monetary results and greater production success.

You are able to try Time Clock Wizard for free right now.

Hi everyone. It’s Melissa with Time Clock [Wizard] Support, and today I’m gonna go over the scheduler. So I’m on our schedule page and I got here by clicking schedule on the left side.

You can also show all employees so that you can see everybody on the same page – everyone is scheduled for one day can do that. Or you can go down the line and just see your employees one by one. Read more about why implementing a time tracking app is the necessary next big step.

Emailing the Schedule to Employees

So here we have an envelope [icon button] and this is basically so you can email your employees are schedule. This is very useful if let’s say you need a quick update to the schedule and want them to know about it.

You would just click this envelope and the system will automatically send them an email letting know what their schedule looks like. Your employees can login at anytime and view their schedule.

So there’s really no reason why they should not know when they have to work even if you do make changes. So they have access to their schedule anytime.

This little trash can [icon button] is if you want to delete that employees entire schedule for the month.

So if you don’t want to just delete one shift by clicking on this little X here and deleting that just one. You can delete this’ you can click this trashcan to delete all of the schedules.

Using the Payment Graph

There is payment graph here on the bottom, and you can scroll on the bottom to go through each day. And it will let you know basically a forecast of what you can expect for payroll.

It lets you know based on the hours that you scheduled your employees and the pay wage you will enter into all of your employee’s profile, the total hours that you scheduled and the total estimated payroll.

Forecasting Schedules

So, it’s really helpful when you’re trying to do any type of forecasting. When you need to delete some hours to stay within budget, you’ll know that just by checking out this graph.

So you can use these arrows [ < >] to go from month to month. And you can click show all employees so you can see everybody’s schedule.

And you can also go to a weekly view and use the arrows to see what’s going on in future weeks.

Copying Schedules Week to Week

And let’s say your employee works the same schedule every week. You can actually click the “Copy This Schedule to Another Week” [button].

And a little pop-up will show. It will allow you to select your employees that you want to copy and select the weeks you want to copy the schedule to.

And all you got to do is click “Copy Schedules” [button] and it go ahead and copy all the schedules you want copied.

Using the Daily View Option

You also have a daily view. You can use this little calendar right here you want to go to like a specific day. And notice how we have Trina who is scheduled here. I want Melissa to have the same schedule as Trina for that day. And I don’t have to go and enter everything in.

So you can actually select an employee here, scroll down and click “Update” [button] and the schedule will copy the same exact schedule, location [&] position and the schedule will copy the same exact schedule, location [&] position; everything will copy to the other employee.

Copy using Employee Check Boxes

You can also delete it here and you can also check these box[es] so that it actually copies to the next day. But you don’t really need to use this too often because now on a monthly schedule you can actually drag and drop and “Copy” [button] the schedules.

Drag and drop. There we go.

Moving a Schedule

So let’s say “Oops, I scheduled Melissa for the wrong day. I want her to actually work on the 19th.” I can drag and drop and click “Move” [button] and there it goes.

Inputting Shift for the first Time

Now, if you want if you want to enter a shift in and for the first time, you would just click on the day, select the employee hours that you want them to work, the location and the job.

This custom hourly pay rate is basically if you want to hear another employee more or less for that day. This will override whatever pay wage you put in their profile.

So if you don’t want to pay them anything different, you would just keep it at zero.

You can make any notes for your employees to see and you would just click “Save” [button]. And it would save right here [on the calendar view].

Requested Time Off

Anytime your employees request time off it will automatically go onto the scheduler so you can schedule your employees properly.

So, Ben is taking a vacation this week so we got to make sure we have coverage on everything, you know, within our company.

So, that basically goes over the schedule page. It’s pretty simple.

Printing Employee Schedule

Oh…and one last thing, you can actually print your schedules here by clicking this little guy [printer icon], and it will give you a monthly calendar, then you select a format and then export it.

And you could also do a list type scheduling. so basically gives the date, the name and what time they need to work – where they need to work – where they need to be (if you don’t want to print out actual an calendar).

Find out what four common problems an attendance tracker can solve and how to quickly add your employees to the time clock.

So that’s basically it. We hope you guy are loving the time clock. Please let us know if you have any questions. We’re here to help. You can always click the chat button Monday through Friday from 9 to 5 Eastern time, and we’ll be happy to help you. Thanks again!

A clock in system for employees is a requirement. Keeping accurate time for employees in the workplace is one of the most important tasks of a well-run business. This is true for both big and small companies.

In the past, many small businesses who pay employees by the hour could not afford a sophisticated timekeeping system and had to keep time and report payroll manually.

Now, there is a free* clock in system for employees from Time Clock Wizard that automates this process to use on a trial basis. Why should a company use this system?

(Update: Due to the popularity of the software, TCW has a free trial with very competitive rates for this service.)

From One Location, See All Time Records

For one thing, using a system like this will verify that your employees are at work when they are supposed to be. If your employees clock in or out outside of the normal time, the system can notify you by email or by text.

If you cannot be at the work premises yourself, you can verify through the system if your employees were at work on time. The system from Time Clock Wizard has a way to make sure that employees only punch in and out from their authorized work location or job sites.

You can match IP addresses and verify where the employees had clocked in. This is another safeguard to prevent employees from trying to trick the timekeeping system.

Here is a video of our clock in system for #ThrowbackThusday:

(Tomorrow, for Video Fridays, the video tutorial and transcription will be about how to generate payroll.)

Manual Timesheets Give Opportunity For Fraud

Manual sign-in sheets can be inaccurate and abused. If employees are claiming to be at work when they are actually not, this can result in a loss in your business income. This loss can add up over time.

When an accurate timekeeping system is in place, you can easily keep track of how much time your employees are actually spending on a project.

This can tell you a lot about their efficiency and can help you determine if any improvements need to be made in the processes.

Clock In System For Employees That Is Down To Earth

Using an automated timekeeping system minimizes discrepancies. The record is the proof of attendance. There is no need to rely on anyone’s word for it.

When you use the automated timekeeping system, it can generate a report on the how many hours were worked by each employee and how much in wages is payable to each person. Any overtime, time-off, breaks and other payroll-related expenses can be factored in.

Human errors are removed from the calculations because payroll is done automatically. It makes work lives easier for the employees and for the payroll department.

Human Use Errors Easily Fixed

If one of your employees forgets to clock in, there is a way for him to input the correct time and notify you through the system so that you can review and approve the change. When small errors like this are fixed right away, it prevents any conflict when the paycheck is issued.

Tax Compliance

An accurate clock in system for employees helps you stay in compliance with tax reporting. This will prevent any overpayment or underpayment of payroll taxes due to inaccurate records.

Better Budgeting Through Forecasting

The tool can even help you forecast payroll so you can budget accurately. This will help prevent any budget overruns in employee compensation.

Because Time Clock Wizard is free* (update: with a free trial), there is no reason why any business should still manually keep track of employee hours. The robust tools provided by this system will improve efficiency in timekeeping and payroll processes for any business.

When you organize office schedules, it is a good idea to know what kind of schedules you can utilize. Employees need to know when and where they need to be as well as their assigned job duties.

Managers need to know who is under their supervision. And the CFO is going to want to know that the company is getting their return on investment.

In the last post, we covered these topics:

Jobs and task assignments

Trading schedules

Office meetings

Other items that require thoughtful scheduling are:

Trade conferences

Continuing education

Off-hour parties

With the advance in time clock tools, managing payroll has gotten to a point where it can be streamlined.

What kind of Schedules do Trade Conferences have?

It is well known that trade conferences is a good place to advertise your business and possibly do employee recruitment. The real meet and greet happens at the “after conference parties” where representatives can really get to know strategic partners personally.

Given this, it is important to make sure your employees are compensated for every hour they are representing your brand. This is where Time Clock Wizard has an advantage over traditional time scheduling methods.

An employee can clock in and out from anywhere there is internet access. They can also quickly input the amounts related to their expense reports in real time.

What are Continuing Education Units and Schedules good for?

In order to be competitive, employees must continue taking classes called “continuing education units”. One of the biggest complaints of human resources is that there is not a verifiable way of making sure their workers are taking classes.

The other thing to consider is there may be a difference in pay for travel time versus class time. Pay more for classes you really need to have employees take – pay incentives are wonderful for this.

With the IP location and picture options, your employees can show that they are clocking in when starting and ending their class sessions. Even if they are taking classes online from home, they can be making a time-stamped schedule as required by law.

What about Off-hour Parties?

This is something that employees get upset about. Even though off-hour parties (like the yearly Xmas Office Party) may not be required, they are socially required. Employers should think about paying employees for time spent at off-hour business parties. Realistically, employees are away from their families while at these events.

Time Clock Wizard helps with that, too. When employees show up at the correct times, they can log in and out of the Internet App easily. If employees receive any awards, they can also input that data right into their account.

Organize Office Schedules no matter where Employees need to Go

Doing the scheduling for employees can be difficult without thinking about the various ways that employees can be scheduled.

Posted schedules are important for employees to know when and where they are expected.

Schedules also give a heads up to managers how many people are going to be under their supervision at any given time.

Time Clock Wizard is free to sign up for and try out.

What’s your schedule and time management look like for your business? Creating schedules for multiple employee types and locations can be a challenge. Without the right system in place, schedules quickly get out of hand.

On top of that, new labor laws are requiring more reporting on the actual time worked by employees. It is a traditional practice to pay according to the schedule.

However, since employees have made official complaints that their time worked has been shaved, this created new legislation. Time stamping is an important game-changer in the new labor laws.

Why is Keeping a Schedule Important?

Schedules need to be transparent and archived. Employees should be encouraged to check their schedules, request time off and trade schedules with employees. By empowering employees to care for their own schedules, employees feel obligated to fulfill their obligations.

There are two categories of scheduling that have different realities: Time on and time off.

Time on scheduling includes:

Specific job tasks or assignments

Schedules trading

Meetings

Trade conferences

Continuing education

Office parties

These topics above encompass paid time for employees.

Time off topics include:

Scheduled time off

Vacation

Military duty

Jury duty

Medical appointments

Other miscellaneous appointments

Some of the items listed above are paid due to the benefits of the company. Business are not typically required to pay employees for these topics.

Schedules, Plans and Delivery on Time

The whole point of a schedule is to have a plan. Make sure that the correct number of employees with the skills necessary are available for a prospective assignment. It is a great idea to reward employees that stick to their schedule as much as possible.

Employee attendance is higher for companies that point out and reward the effort. When businesses fail to reward the behaviors they want, businesses get more of the behaviors they do not want.

Taking employees for granted that showing up is just part of their job misses the point. Because of “right to work” laws, the employee makes the choice every day to come to work as they are not obligated to. Reward employees for choosing to continue to work for your company.

In order to get your products to be delivered on time, you are going to need the the full cooperation of your employees.

Employee Empowerment over Schedules

Another big idea that gets tossed around is allowing employees to choose their own schedules and job assignments. For example, an employee might benefit greatly coming in an hour earlier and leaving an hour earlier than the rest of the team.

By being a benefit to employees with flexible scheduling, they choose to continue to work with your company.

Business owners are always trying to find work-life balance while ignoring the same ideals to their employees.

For example, an employee that guarantees to work every Friday and Saturday night are sacrificing social time; however, they may do this to have days off during the M-F work week to run errands. These employees are an invaluable resource.

What’s your Schedule support Software?

Scheduling is made easier with online mobile apps. Time Clock Wizard has an online scheduler as part of the software package. This makes is easy to schedule employees. Time Clock Wizard also gives employees more power over their schedule to request time off and to trade shifts.

Managers are further aided by having all of these requests consolidated on their dashboard. All that needs to be done is to approve or disapprove a request.
