As a manager, it is convenient to see who is pre-scheduled for the day with just a few clicks. In this article, there is the video and transcript for reminding you how to use these Time Clock Wizard features.

It is important to make sure that employees are scheduled appropriately.

Employers are looking for ways to better serve their employees. Or at least, keep out of trouble with any governmental labor board.

Here are some of the most common employee complaints about schedules:

Employers not paying attention to high-traffic times.

Changing the schedule without notice.

Dropping employee shifts too close to actual work time.

Being scheduled for more than one location at the same time.

Employers making staying over a scheduled shift time mandatory without prior consent.

Dismissing complaints about schedule as trivial without an investigation.

Shifts that rotate awkwardly so employee really cannot get proper sleep.

Needing to come into the workplace to view schedule.

It is very important to keep employees happy with their schedule. The more way employees can help you manage the schedule, the better.

Employees have 24/7 access

The terrific feature set of Time Clock Wizard make it easy for employees to check their schedule at their convenience.

When you take into consideration the time and travel costs for employees to come into the office to check their schedule, it may not directly affect your bottom line.

However, it does affect your employee’s attitude and impression of the workplace.

Viewing Pre-Scheduled Employees

Melissa Ruy, a terrific representative of Time Clock Wizard, has created the video below to help you get a quick view of your scheduled employees.

If you are looking to learn how to create the employee schedule in Time Clock Wizard, see the tutorial about our Employee Scheduler.

Hi everyone. It’s Melissa with Time Clock Support and I’m going to go over how to view your scheduled employees for the current day.

Using Schedule Tab

So I’m on our schedule page and I got here by clicking the Schedule Tab.

I’m going to go ahead and click “Show All Employees” to see who is scheduled. I can locate today and see which employee’s are scheduled for today.

Using Day View

You can also click the Day View.

You’ll see here, it’s May 26th 2016 and these are the employees that are scheduled today.

View Pre-Scheduled employees with Ease

If you guys have any questions please feel free to contact us on our support Tab and we’ll be happy to help you. Have a great day.

Time Clock Wizard is available to try out for free. This is online software application that your employees can use to reach their information from any location with internet access.

One of the cool features of Time Clock Wizard is that you can write a note to your employees within Time Clock Wizard. This is a extremely helpful feature that allows managers to direct employees better from one location.

For example, Human Resources have paperwork for employees to sign at irregular time frames. A quick reminder to the employee to take care of their paperwork can save the energy of both managers and human resource staff.

When you organize office schedules, it is a good idea to know what kind of schedules you can utilize. Employees need to know when and where they need to be as well as their assigned job duties.

Managers need to know who is under their supervision. And the CFO is going to want to know that the company is getting their return on investment.

In the last post, we covered these topics:

Jobs and task assignments

Trading schedules

Office meetings

Other items that require thoughtful scheduling are:

Trade conferences

Continuing education

Off-hour parties

With the advance in time clock tools, managing payroll has gotten to a point where it can be streamlined.

What kind of Schedules do Trade Conferences have?

It is well known that trade conferences is a good place to advertise your business and possibly do employee recruitment. The real meet and greet happens at the “after conference parties” where representatives can really get to know strategic partners personally.

Given this, it is important to make sure your employees are compensated for every hour they are representing your brand. This is where Time Clock Wizard has an advantage over traditional time scheduling methods.

An employee can clock in and out from anywhere there is internet access. They can also quickly input the amounts related to their expense reports in real time.

What are Continuing Education Units and Schedules good for?

In order to be competitive, employees must continue taking classes called “continuing education units”. One of the biggest complaints of human resources is that there is not a verifiable way of making sure their workers are taking classes.

The other thing to consider is there may be a difference in pay for travel time versus class time. Pay more for classes you really need to have employees take – pay incentives are wonderful for this.

With the IP location and picture options, your employees can show that they are clocking in when starting and ending their class sessions. Even if they are taking classes online from home, they can be making a time-stamped schedule as required by law.

What about Off-hour Parties?

This is something that employees get upset about. Even though off-hour parties (like the yearly Xmas Office Party) may not be required, they are socially required. Employers should think about paying employees for time spent at off-hour business parties. Realistically, employees are away from their families while at these events.

Time Clock Wizard helps with that, too. When employees show up at the correct times, they can log in and out of the Internet App easily. If employees receive any awards, they can also input that data right into their account.

Organize Office Schedules no matter where Employees need to Go

Doing the scheduling for employees can be difficult without thinking about the various ways that employees can be scheduled.

Posted schedules are important for employees to know when and where they are expected.

Schedules also give a heads up to managers how many people are going to be under their supervision at any given time.

Time Clock Wizard is free to sign up for and try out.

Payroll and attendance systems are in high-demand for businesses. The new statuses from the FLSA changes coming in December make is imperative that attendance and payroll be reported accurately.

For example, it used to be common practice to adjust employee’s time clock data to reflect when they were scheduled to work versus when they clocked in. This was done to prevent time clock scams.

With the new FLSA requirements, you will need the exact time via time stamp as well as the adjusted time. This is put into place to keep employers from scamming employees out of hours by shaving off a bit here and there.

Here are questions asked by employees:

Weighted overtime

Time and a half

Paid holidays

Pay for Sabbaticals

Errors in Payroll

Overtime

Overtime is a subject that often gets contested state by state. It is the amount of extra pay per hour that is awarded. It is typically time and a half.

There are a lot of misconceptions about what is and is not overtime. In fact, in the previous article, there were questions about the 40-hour work week.

What is Weighted Overtime?

Weighted overtime is more accurately weighted average overtime. This is used for people who are paid by salary with different week to week hours (like hospital and emergency preparedness staff). Also, people who hold more than one title (waitress/rolling silverware).

During a two week period pay cycle, you calculate total number of hours worked. Any hours over 80 should be calculated at time and a half. Time and a half is can be referred to as the premium overtime rate.

In order to find the amount that is due, you take the overtime hours and multiply those by the premium overtime rate.

Now, add this number to the calculation for the regular pay rate.

From this total, subtract all necessary taxes, entitlement payments, insurance, etc.

It is very very very important that if your company uses weighted average overtime, that the employee is aware of that (with a signature).

Time and a Half

As discussed above, time and a half is the most common premium overtime rate.

What does Time and a Half mean?

This question is one of the most common questions for payroll. To be clear, what time and a half means is the hourly rate plus 1/2 the hourly rate.

For example, if the hourly rate is $10. 1/2 that hourly rate is $5. $10 plus $5 is $15 dollars. The pay rate for time and a half in this case is $15 per hour.

Time and a half is usually for overtime and holiday pay hours.

Holiday Pay

The holidays are times set aside by the American Government as days that you can spend time with your family. These are traditional days off. If you choose to work on specific holidays, you are rewarded with extra pay for not being able to spend the holiday with your family.

What Holiday pay are Casual Workers Entitled to?

The most commonly observed holidays are:

New Year’s Day (Jan 1st)

Martin Luther King Jr. Day

Memorial Day

Independence Day (July 4th)

Labor Day

Thanksgiving Day

Christmas Day

For most states, these holidays are paid time and a half. Depending on the state and worker’s contract, a holiday that falls on a weekend might fall under double time and a half.

This information should be in your employee handbook under the section regarding payroll and attendance systems and guidelines.

Personal Growth Pay

Personal growth pay is a growing trend as a perk for companies. This is time that the company or institution pays you to take classes that will benefit the company of institution.

The most commonly known personal growth pay is called a sabbatical. This is different than a vacation because it is work-related.

When is Sabbatical Pay Awarded?

According to nyu.edu, sabbatical pay is awarded following 12 semesters of service. Only tenured faculty are eligible to apply for a one semester of sabbatical leave at full pay or 3/4 pay for an academic year. Faculty members may choose to apply for a one semester of sabbatical after 6 semesters of service; the pay is 3/4.

Sabbatical pay is not a requirement, and it is a perk. It is important for companies to explore the benefits of paying for sabbatical pay for their workers. The workers can come back with skills that will be helpful to the company while giving the employee the feeling of having a vacation.

Payroll Errors

It is tough when there are mistakes on payroll. A single error can affect people up and down the chain of command.

What is a Payroll Error?

A payroll error is a mistake that is made from the misuse of a time clock by an employee to a missed calculation by someone in the administrative support services office.

It is a good thing that Time Clock Wizard, the best online time clock app, makes fixing common payroll errors very easy.

Payroll and Attendance Systems Conclusion

As you can see from the article above, making sure that the employee is paid at the correct rate for each of their hours worked is of huge importance. It is better to overpay a worker than to underpay them. The most efficient system would be paying the correct amount on time – every time.

Time Clock Wizard is a software solution that can be accessed online that helps managers fix scheduling, payroll and timecard issues in the same location on a dashboard. This makes the efficiency of payroll and attendance management skyrocket.

A payroll and attendance system is required by law. No matter if you have 10 employees or 100,000, you need a system that is easy to use. Administrative support services benefit when the system is efficient.

There are a lot of questions that employees and management regarding payments and outputs for payroll. It is important that administrative support services work closely with human resources so that employee expectations are kept accurate.

What is 40 Hours per Week?

Since labor unions fought for the right to a 40 hour work week with time off on the weekends, people use 40 hours per week as the standard for a full-time job. But is it really?

There are 3 concerns here:

40 hours – full time

Unpaid lunch calculation

Number of days

Because of this, we are answering these time clock related questions below.

Is 40 Hours a Week Full Time?

Yes and no. In the general cases, 40 hours a week is considered full time. But because of unpaid lunches and breaks, some companies call full time 32 or even 28 hours per week. It really depends on the business and the laws of your local area.

Does 40 Hour Work Week include Lunch?

Typically no. If you are scheduled for 40 hours with an unpaid lunch, the lunch hours are removed. If that is the case, you’ll actually work less than 40 hours per week to help buffer against overtime.

That being said, if you do work 40 hours, you would be scheduled from 9 to 6 instead of 9 to 5.

How Many Days is 40 Hours a Week?

Typically, 40 hours refers to 5 days per week. Some businesses work 4 days by making each day 10 (11) hours. You can get to 40 hours in 3 days by working 14 hour shifts. You can get to 40 by working 2 days of 20 hour shifts.

Another way is working 3 days one week of 12 hours and 4 days the next week 12 hours rotating. The average overtime works out to 40 hours per week. This is typical of hospitals where burnout is a real concern.

It really depends on how your business sets up the schedule.

40 Hours Conclusion

No matter what your schedule looks like, it is good to ask Human Resources these questions at the time of your interview. Also, once you are in the position, get to know the administrative support services team so they can answer your questions, too.

Base Wage Rate

Base wage rate differs depending on your job position. Typically, minimum wage is $7.25. If your a waitress (or similar support role), the base wage is $2.33 (plus tips). State laws can cause your minimum pay to be higher than Federal Law, but never lower than that.

Businesses that choose to pay less than that are risking their employees filing a complaint with a wage and overtime commission.

What is Base Pay plus Commission?

Base pay plus commission means that this business is willing to pay you the lowest possible pay per hour with the opportunity to earn more money from each sale you make. People understand that car salesmen work off of commission and try to sell you warranties.

Beauty salon operators also work base plus commission which is why they try to sell shampoo and hair accessories in the store.

Timesheets and Timecards

Manually-punched or hand-written timesheets take a lot of time from administrative support services. In cases of mass schedule glitches (like winter emergencies), the administrative support team works overtime to get employees paid on time.

In order to be more efficient, payroll officials have come up with common timesheet codes to communicate what is going on.

These codes are:

UAT

FTR

LL

UGR

What does UAT mean on a Timesheet?

When you schedule is made, there is a set number of hours that you are expected to work. When you take a sick day, you do not work a portion of those hours. This is considered to be unallocated time or UAT.

Also, if the handwriting on a timesheet is so bad, a payroll person might use the UAT to signify that they were not able to put worked hours in the system due to employee error. This causes lots of conflicts between employees and managers trying to get this fixed.

What does FTR mean on a Timesheet?

Some weeks the demands of an employee are excessive and the employee forgets to turn in their time sheets or leaves their timesheets partially blank. In this case, the code used indicates a failure to record the proper time or FTR.

What does LL mean on a Timesheet?

When managers set up your schedule, there is a set number of hours expected. When employees work beyond the time they were scheduled, this can be called labor long or LL.

This happens quite often with employees who stalk the time clock to game the system to get paid 15 minutes extra per day by clocking in and out at the right moments. This results in unaccounted overtime, and can be recorded as LL to alert managers to possible time clock fraud.

What does UGR mean on a Timesheet?

In order to meet international pay wages and standards, different pay scales are attributed to different countries. Businesses that operate internationally find that they have lots of wage challenges as countries change their wage laws at their own time frame.

UGR stands for user group. Typically, this is a country code. If the country is not listed for country codes, use 99 for most payroll systems.

Travel Pay

Employees may get reimbursed for hotel room, food, entertainment and gas; these all fall under travel pay.

What does Travel Stipend Mean?

According to the wage laws of your state, you may or may not be paid for your travel time. Typically, any time spent traveling for your company (be it door-to-door sales or going to a business conference), must be compensated.

Employee handbooks typically have these rates set out so that the employee can calculate the proper stipend easily.

Because of gas mileage fraud, companies are starting to use phone apps to accurately record gas mileage for compliance.

Payroll and Attendance Systems Calculate Overtime Holiday Pay and More

Businesses need to have ways to leverage their tools in positive ways. The biggest obstacle for businesses to try new software is plainly the budget. Time Clock Wizard is a free software that is a process improvement tool for scheduling and payroll. Below are a bunch of questions to regarding the software that should give you a better idea how his software will help you.

We have a labor ready style business where we have lots of locations to pull workers from. It seems that a full 30 minutes is wasted waiting for every office to check in. Is there a better solution for this?

Yes, absolutely! I understand your frustration with all of those employees being paid for not producing. By using an online timesheet with an automated attendance recorder, everybody’s total number of hours are calculated in real time. As a matter of fact, most of these systems allow you to view all your employees in your dashboard and generate a report of working hours whenever you request. From this dashboard, you can take your clocked in employees and set up their schedules for the day; they could check their schedule on their phone faster than the manager could give them the details. Read more here: Using an Automated Attendance Recorder for the Difference!

I can look at the employee time cards all day and not figure out an easy pattern to work with. Because if this, improvement in payroll has become stagnant. How quickly can Time Clock Wizard be set up for use?

There are some numbers that end up becoming elusive because they are either difficult to accumulate or tedious – especially from punch time cards. When a proper system is put in place which takes care of the accumulation of numbers, it is better for the business. Because the reports are going to be created on their own, the management team is able to simply read these tangible numbers and act on them. A system of this nature ensures all of the attendance tracking that is being done is accurate and easier to access. See more here: Online Attendance Tracking VS Manual Spreadsheets.

My boss insists on using spreadsheets to track all of this data, but with fractional time and one-time adjustments to the schedule, the data is just so skewed. Would Time Clock Wizard help with these issues?

Keeping track of employee hours is a challenge for any manager! Whether it’s a matter of tracking different hourly rates, holding onto fractional time, including expenses and mileage, or making one-time adjustments, Time Clock Wizard juggles all the mathematics behind the scenes and minimizes the amount of effort you and your employees need to put in. Read more here: Powerful Online Tools For Keeping Track Of Employee Hours.

I attend a lot of conferences out of the country, and I would like to monitor my employees to see if they are clocking in and out properly. Is Time Clock Wizard the kind of software that can assist me with managing my employees?

This makes it easy and convenient to monitor the comings and goings of your workers, whether at your desk, at home, or from a hotel on the other side of the globe. This is the power of web based time clock software. This is far in advance of the optical scanners that have been the standard for quite a while. See more here: Awesome Web Based Time Clock Software.

My business does a lot of door-to-door sales as well as in office presentations. The difficulty that we are having is keeping track of employees that switch roles on the same day. Can Time Clock Wizard do switching roles?

Telecommuters, field workers, sales people, temporary employees, and workers in other categories all present their own unique challenges. Keeping track of employee hours in these tricky situations can be difficult if you rely on nothing more than good old paper timesheet templates. These days, however; many workers complete their tasks in less conventional ways with varying shifts and possible remote locations. See more here: Powerful Online Tools For Keeping Track Of Employee Hours.

How much time would I personally need to spend entering all of the employee data per week?

As mentioned above, you don’t have to manually take care of everything, nor is it necessary to hire someone to do this job on your behalf with this automated attendance recorder. Let the system do the daunting task, and all that you need to do is hit a button to generate reports that you need. Most of these systems have everything that you need all in one place, such as your dashboard. Much more here: Using an Automated Attendance Recorder for the Difference!

I am looking for a time management application that will allow my employees to have a recorded place where they negotiate switching schedules. It is frustrating to have one employee take off and the other employee forget to show up. Can Time Clock Wizard do this?

Time Clock Wizard is a time management application that handles so many payroll issues. It is free and customizable for your needs! The employee who wants to switch sends a message to the other person through the system. If the change is approved by all involved parties, it will automatically make the alterations to the schedule. It is compatible with all operating systems so you will never have to worry about finding and using your data. Read more here: Using This Time Management Application.

One of the most frustrating and time consuming things is taking care of tracking down employee time cards who didn’t clock in or out correctly. How can Time Clock Wizard improve upon this?

Online timekeeping software can take a lot of the guesswork out of timekeeping and attendance, and the right programs are incredibly easy to use. A cloud-based Internet solution like Time Clock Wizard shows off the full potential of modern timekeeping. Where a full-featured program like Time Clock Wizard really shines is in its simplicity. See more here: Accurate Timekeeping and Attendance Records Tools.

As a field coordinator, it seems that most of my time is spent answering questions about the schedule, bonuses, and pay rates. It is frustrating to have this many interruptions. Is there a better way to have my employees be in charge of their own information?

If your employees are aware of how much time they’ve logged for the entire week, and if they can see where their time was spent, they can become empowered to keep up their productive work history, and perhaps do better. If you’re using an automated attendance recording system, your workers will be able to view their hours, check overtime hours and can even be inspired to improve their statistics. See more here: Using an Automated Attendance Recorder for the Difference!

My company has many short shifts and rotating schedules. Week to week scheduling takes us the most time. Will Time Clock Wizard assist with these sort of schedules?

Employees may have rotating or shifting schedules. Attempting to personally compare employee schedules against their recorded attendance undoubtedly takes a lot of time. Too much time without an automated attendance recorder. Inefficient. Check out more: Using an Automated Attendance Recorder for the Difference!

All of my work tasks involve my email with the exception of payroll. Can Time Clock Wizard communicate with me when my employees clock in or out via email?

Yes! Web based time clock software that is usable and free is extremely rare! One huge advantage the program has over many existing solutions is the ability to send customized email or text message alerts whenever an employee clocks in or out. Find out more here: Awesome Web Based Time Clock Software.

Time Clock Wizard is the Free Tool for Improvement

Whether your difficulty is in payroll, scheduling, or security, Time Clock Wizard is a sensible solution. Not only is the software free, it is full of features and easy to use. There are other web based time clock software options that do not compare to the value of Time Clock Wizard. Being free, you can test this time management application against your current method to gather data on the next step. Innovation starts with signing up for a free account and checking out the software.

It is a good idea to learn about methods of monitoring employee performance so that you’re aware of what is happening within your organization. You don’t want to overlook things of this nature because you may find that, by not paying attention, you’re losing money and possibly being taken advantage of.

Here are some ways to keep better track of how your employees are doing:

Eliminate Accidental Employee Overtime

It may not seem like a big deal to you that people are consistently a few minutes early, but you can seriously lose a lot of money when you start having to pay people for extra time you weren’t scheduling them to have. You could use Time Clock Wizard to see how many times an employee has clocked in or out early or late. Then you can get the problem taken care of instead of losing money and not knowing why for a long period of time.

Assure the Time Stamps are Real

One way people keep track of their employees is by letting their employees clock in and out or even just allowing them write their times on a piece of paper. Think about how easy it would be for someone to say that they came in a few minutes early or that they were back from lunch on time but really weren’t. You can’t be there to watch every employee all the time, and that’s why trusting everyone to tell you the truth is a terrible idea for the most part. Even the employees you’ve known for a long time can get tempted to stretch the truth and it will keep happening if you don’t take care of it in a swift manner.

The Methods for Monitoring Employee Performance Are Simple With Time Clock Wizard

A really nice feature of the Time Clock Wizard software is that it can store a file on each person that works for your company. You can then start to figure out just who does what in your company and if you find that anyone is losing you money on purpose they can be dealt with before doing too much damage to the business you’re trying to run.

You can’t trust everyone to be honest with you, but you also may find that there are people that just weren’t aware of the rules. Either way if you let these things go unnoticed it can eventually ruin your business.

Now you can see how this online time clock application can help that you get a better idea of what is going on within your organization. Don’t wait until it’s too late. Start using Time Clock Wizard to better monitor employees today.

Many businesses want to know how to keep track of employee hours without going crazy. There are so many things to keep track of, and with more regulations happening to industry everyday, it is no wonder the payroll staff and human resources are over worked. Employee absences and accidental overtime are the biggest headaches for those who are in charge of maintaining the schedules.

What Tracking Method Options Do you Have?

When it comes to keeping a log of employee hours worked, employers are presented with a variety of options. Let’s take a look at some of those options.

Pen and Paper

You can go the old-fashioned route of writing everything down. Keep in mind, this can be a big job to manually keep an accurate log that covers each employee. With this system, you also have to consider who is going to be the one to write down the time. Will employees be trusted to sign themselves in and out? It pretty much goes without saying that the “honor” system is full of loopholes and convenient opportunities for white lies at the benefit of employees.

Another issue that comes with logging hours manually in a spreadsheet or notebook is legibility. Depending on the writer, sometimes people can even find it difficult to read their own writing when returning to it, let alone someone else’s cat-scratch.

Employee Badge Swipe

A popular method used by large companies and corporations is the use of an employee ID badge, whether this is Rf-ID technology or a bar code that is swiped – even bio-metric data such as finger prints and retina scans can be used for employee clocking in purposes. Most of the time, these sophisticated systems are set up to send and receive data to an incorporated software system.

But, looking at the expenses of even the most basic system such as described, you have to consider the cost of the hardware and software, not to mention staff training, ongoing maintenance and trouble shooting. Seriously. Who can afford this type of set-up these days? In reality, unless you are a very large business, this is not an option for most business owners.

Automated Time Clock System

All the advanced technology solutions makes it no surprise that you can actually use an online time clock to allow workers to clock in and out and keep an online time record. Time Clock Wizard is a sophisticated web app that not only maintains an online time record but also has the capability to generate payroll reports, and features a robust online schedule.

Time Clock Wizard is How To Keep Track of Employee Hours

Going with a free web application such as Time Clock Wizard is the most inexpensive and practical way you can start keeping better track of hours and know that you are paying each employee correctly. While logging hours by writing them down may seem easy, you are setting yourself up to potentially lose money on over-payment and inaccuracies. Take the easy way out by signing up for this free online time clock system today.
